1. Scope
This Cancellation Policy applies to reservations at Sunset Hotel Corfu, owned/operated by Politis S.A., unless otherwise stated in the specific booking terms, the booking confirmation, or the platform through which the reservation was made.
2. Acceptance of the Cancellation Policy
By completing the reservation, accepting the booking confirmation, paying a deposit and/or providing payment details, the guest confirms that they have read and accepted this Cancellation Policy, as well as the specific terms of the reservation.
3. General Cancellation Terms
Cancellation terms depend on the type of reservation, the rate type, the period of stay, availability, and the channel through which the reservation was made.
The guest is informed of the applicable cancellation terms before completing the reservation. These terms form an integral part of the booking.
If the reservation has been made through a third-party platform, such as Booking.com, Expedia, Agoda, or another online travel platform, the cancellation terms displayed on that platform and in the booking confirmation shall apply.
4. Method of Submitting a Cancellation
Any cancellation request must be submitted in writing, either by email to the hotel or through the platform through which the reservation was made. The cancellation shall be considered received on the date and time recorded by the hotel or the relevant booking platform. Greek local time applies for the calculation of all deadlines.
5. Free Cancellation
For reservations that include free cancellation, the guest may cancel the reservation free of charge up to 21 calendar days before the scheduled arrival date, until 23:59 Greek local time.
In case of cancellation within the last 21 days before arrival, the hotel reserves the right to charge cancellation fees in accordance with the terms of the specific booking.
6. Non-Refundable Bookings
For reservations made under a non-refundable rate or another non-refundable special offer, no refund is provided in case of cancellation, no-show, or failure to complete the stay.
The total amount of the reservation or the amount specified in the booking terms may be charged at any time after the reservation is made and is non-refundable in case of cancellation, no-show, or date changes.
Non-refundable reservations cannot be modified to different dates unless the hotel expressly agrees in writing, subject to availability and the applicable rate conditions.
Non-refundable terms apply only where they have been clearly displayed to the guest before completion of the reservation and included in the booking confirmation or applicable booking terms.
7. Late Cancellation
In case of cancellation after the free cancellation period has expired, namely within 21 calendar days before arrival, the cancellation fees stated in the specific booking terms shall apply.
For reservations made directly with the hotel, by telephone, or by email, the one-night deposit is non-refundable and will be retained as a cancellation fee. Any additional cancellation fees shall apply only if expressly stated in the specific booking terms or in the booking confirmation.
8. No-Show
In case of no-show on the scheduled arrival date, without prior timely cancellation in accordance with the booking terms, the hotel may charge the no-show fee stated in the specific booking terms or booking confirmation.
Where the specific booking terms provide for a full-stay no-show charge, the hotel may charge up to 100% of the total reservation value.
The room may be released after a no-show, in accordance with the hotel’s operating policy and the booking terms.
9. Deposit for Telephone, Email or Direct Reservations
For reservations made by telephone, email, or directly with the hotel, a deposit equal to the value of one night is required in order to confirm the reservation.
The deposit is refundable only if the reservation is cancelled up to 21 calendar days before the scheduled arrival date, until 23:59 Greek local time.
10. Booking Confirmation and Failure to Pay Deposit
For reservations requiring a deposit, the reservation shall be considered finally confirmed only after the required deposit or payment has been successfully received.
If the deposit is not paid within the deadline communicated by the hotel, the hotel reserves the right to treat the reservation as unconfirmed and release the room or rooms without liability for non-confirmation of the booking.
11. Booking Modifications
Any request to change dates, length of stay, room type, number of guests, or any other booking detail is always subject to confirmation by the hotel and depends on availability.
The hotel may show flexibility regarding modification requests, provided that availability exists. Any modification may result in a price difference, additional charge, or application of the rate applicable to the newly requested dates.
The new stay dates will be charged according to the rates applicable at the time of modification and for the relevant stay period.
12. Partial Cancellation or Reduction of Reservation
Any reduction in the length of stay, number of rooms, number of guests, or any other essential booking detail shall be treated as a booking modification or partial cancellation and is subject to the hotel’s approval and availability.
Depending on the time of the request and the specific booking terms, cancellation fees, any increase in price, or the rates applicable to the revised reservation may apply. Any refund or credit, where applicable, shall be subject to the specific booking terms and the hotel’s written confirmation.
13. Definition of Group Reservations
A group reservation means any reservation concerning five or more rooms, or any other reservation expressly classified in writing by the hotel as a group reservation due to the number of rooms, number of guests, length of stay, or special booking terms.
14. Group Reservations
For group reservations, a deposit equal to 30% of the total reservation value is required.
Unless otherwise stated in the specific written group booking terms, the group deposit is non-refundable in the event of cancellation, as it reflects the reservation of multiple rooms, administrative handling, planning requirements, and the potential loss of the opportunity to resell the reserved rooms.
A group reservation may be transferred to new dates only once, within a period of three months from the original arrival date, subject to availability, applicable rates, and written approval by the hotel.
If the transfer is approved by the hotel, the non-refundable deposit already paid will be applied to the transferred reservation.
Any increase in price resulting from a change of dates, season, length of stay, number of rooms, or applicable rates shall be borne by the guest or group organiser.
15. Early Departure
In case of early departure, the hotel may charge the amount stated in the specific booking terms or booking confirmation.
Depending on the rate type, cancellation terms, and period of stay, this amount may be up to the full value of the remaining originally booked stay, unless otherwise agreed in writing by the hotel or required by applicable law.
16. Payment Authorisation
By providing credit or debit card details or another payment method, the guest authorises the hotel to charge amounts that are due under the confirmed booking terms, including deposits, non-refundable amounts, cancellation fees, no-show charges, and any price differences resulting from confirmed booking modifications.
17. Failed Payment or Invalid Payment Method
If a charge, pre-authorisation, deposit, or any due payment cannot be completed due to an invalid card, insufficient funds, declined transaction, or any other payment issue, the hotel may request the guest to provide a valid payment method within a reasonable deadline. If the guest fails to respond or the payment is not completed in time, the hotel reserves the right to cancel the reservation or treat it as unconfirmed, in accordance with the specific booking terms.
18. Pre-Authorisations, Payments, and Refunds
The hotel may, in accordance with the booking terms, request a deposit, prepayment, or credit/debit card pre-authorisation.
Where a refund is due, it will be processed using the same or another appropriate payment method, where possible. The time required for the refund to appear in the guest’s account depends on the bank, payment provider, or booking platform and is not controlled by the hotel.
19. Taxes and Fees
Any taxes, fees, or charges collected upon arrival or during the stay, such as the Climate Resilience Fee/accommodation tax and municipal tax, are governed by the applicable legislation and the instructions of the competent authorities.
20. Bookings Through Third-Party Platforms
For reservations made through third-party platforms, any request for cancellation, modification, or refund should generally be submitted through the platform where the booking was made.
The hotel is not responsible for service fees, commissions, or terms imposed by third-party platforms or payment providers.
21. Exceptional Circumstances
In cases of force majeure, emergency restrictions, serious travel disruption, or other exceptional circumstances, each request will be reviewed on a case-by-case basis.
Any change, credit, or refund remains subject to the booking terms, applicable law, and the hotel’s policy.
If, due to force majeure, exceptional circumstances, serious technical failure, government restrictions, or any other event beyond the hotel’s reasonable control, the hotel is unable to provide the agreed accommodation, the hotel will make reasonable efforts to inform the guest in time and, where possible, propose an alternative arrangement, a change of dates, or a refund of any amount paid for services not provided, in accordance with applicable law.
22. Right of Withdrawal
Hotel accommodation bookings concern accommodation services for a specific date or period of performance. For this reason, the general 14-day withdrawal right applicable to certain distance consumer contracts does not generally apply to such bookings.
Guests’ rights under applicable law remain unaffected.
23. Precedence of Specific Terms and Language
In case of conflict between this Cancellation Policy and the specific terms stated in the booking confirmation or on the platform through which the reservation was made, the specific terms of the relevant reservation shall prevail. In case of discrepancy between the Greek and English versions, the Greek version shall prevail, unless otherwise required by mandatory law.
24. Governing Law and Jurisdiction
This Cancellation Policy is governed by Greek law. Any dispute relating to the interpretation or application of this policy shall fall under the jurisdiction of the competent courts of Corfu, to the extent permitted by mandatory consumer protection law and without prejudice to any mandatory consumer rights under applicable law.
